Evidence management is not simply file storage. Useful records need stable references, dates, ownership, event links and a clear reason for inclusion. This is general workflow guidance, not legal advice; always check the signed contract.

Create one source register

Give each record a stable reference and capture its date, author, recipient, file type, project event and locator. Keep the original file while using extracted text only as a review aid.

Organise around events and issues

Connect correspondence, instructions, programmes, photographs, diaries and costs to the event they support. Avoid relying on folders alone when the same source is relevant to more than one issue.

Preserve provenance and access control

Record where the file came from, who uploaded it, any replacement history and who can access it. Do not alter originals or expose commercially sensitive records through public links.
